➤ Product: OfficeRnD Flex
➤ Who: Admins with access to Operations > Companies
➤ Where: On the Admin Portal, under Operations
➤ Availability: All Flex plans
Every room your team books for a tour, an internal meeting, or a maintenance visit lands on an invoice as a booking fee. Somebody then has to find those lines and write them off each month.
An unlimited credit allowance on your admin company covers every booking your staff makes. No fee is generated, so there is nothing to clean up later.
Booking credits are the same mechanism members use, applied to the company your admins belong to. An unlimited allowance is preferred over a 100% discount because it does not need updating when resource rates change.

Prerequisites
An admin company must exist under Operations > Companies, with your administrators as its members.
Assign unlimited credits to your admin company
Every admin in the admin company draws from its credit pool, so one allowance covers the whole team.
Go to Operations > Companies and open your admin company profile.
In the Credits section, click Add Credits.
In the Add Booking Credits dialog, clear the number field. The value changes to 'Unlimited'.
Open the drop-down menu and select hours.
Set the credit type to Month so the allowance renews every month.
Leave Valid For set to 'All Resources, Rates'.
Set the Start Date.
Clear the End Date checkbox so the allowance never stops renewing.
Click Add.
Every admin in that company can now book any meeting room at no charge.
What happens to bookings made months ahead
A monthly allowance only exists for the current month and the next month. A booking further ahead has no credits to draw on yet.
An admin booking for the month after next is created with the status 'Not Accounted'. Nobody is charged at that point. The booking is accounted for on the 1st of the month when it takes place, and the allowance covers it then.
FAQs
Why use unlimited credits instead of a 100% discount?
Unlimited credits cover a booking whatever it costs. A 100% discount is tied to a resource rate, so it needs revisiting when rates change.
Does the allowance cover every meeting room?
The allowance covers every resource when Valid For is set to 'All Resources, Rates'. Narrow it to specific resource types or rates if you want admins to book only some rooms for free.
Do individual admins need their own credits?
Credits assigned to a company are shared by all its members, so individual admins do not need their own. One unlimited allowance on the admin company covers everyone in it.
