Without rate discounts, you correct each member's booking price by hand, or you keep a second resource rate for members. A rate discount automatically reduces the booking price for members of a company with an active membership on the correct billing plan. Flex then calculates the member price at each booking from 1 resource rate.
A rate discount connects 2 objects: the resource rates it reduces and the billing plans that grant it.
While this article focuses on resource rate discounts, OfficeRnD also offers other pricing strategies, like booking credits for members.
This article explains how to create resource rate discounts and apply them to membership plans to reward your members with preferred pricing.

Prerequisites
A rate discount reduces the price of an existing resource rate. Create these items before you start:
At least 1 resource rate, attached to each resource that you want to discount.
At least 1 billing plan to grant the discount. Create a billing plan →
How rate discounts work
A rate discount is a reduction that you attach to 1 or more resource rates. You define the reduction as a fixed amount or as a percentage. You also choose the rate types that the discount reduces: hourly bookings, daily bookings, or hourly and daily bookings.
Members get a rate discount through a billing plan. When a member books a resource, Flex reads the rate discounts on the member's company billing plans. The member then sees the discounted booking price. For example, a meeting room's hourly rate is $50. A $15 rate discount sets the member price of that meeting room to $35 per hour.

Create a rate discount
A billing plan can grant only a rate discount that already exists. Create the rate discount first, under Billing > Discounts.
To create a rate discount:
Go to
Billing > Discounts.Click Add Discount.
Select Resource Rate Discount. This discount type reduces booking prices.
In the Discount Name field, enter a unique name. You select the rate discount by this name when you add the rate discount to a billing plan.
Select the resource rates that the discount reduces. Bookings that use other resource rates keep their full price.
Select the rate types that the discount reduces: Hour, Day, or Hour and Day. The discount reduces only the bookings of the selected rate types.
Enter the reduction in the Amount Off field or in the Percent Off field.
For example, enter 5 in the Amount Off field to reduce each booking price by $5.
To make the bookings free, enter 100 in the Percent Off field.
Click Add to save the rate discount.
Add the rate discount to a billing plan
The rate discount now exists, but no booking uses it yet. Flex applies a rate discount only through a billing plan.
Important: A rate discount on a billing plan reaches every member of a company with an active membership on that billing plan. The member named on the membership does not limit the rate discount.
To add the rate discount to a billing plan:
Go to
Billing > Plans.Select the billing plan that grants the rate discount.
Open the Billing tab.
In the Rate Discounts field, select the discount that you created.
Click Update to save the billing plan.
This way, you do not change any membership. Memberships that already use the billing plan automatically get the rate discount. Flex reads the billing plan's rate discounts each time a member books.
Which members get a rate discount?
Flex calculates a booking price based on the company the member belongs to. When a company member books, Flex loads every active membership of that company. Flex then applies the rate discounts of the billing plans on those memberships.
For example, a company has 12 members and 1 active membership on a billing plan with a 100% rate discount. All 12 members of that company can book the discounted resources for free.
The following do not affect who gets a rate discount:
The Contact field on a membership record identifies the member the membership belongs to. Flex does not use the Contact field to calculate the booking price.
The Bill to Member checkbox decides who receives the invoice for the membership fee. The Bill to Member checkbox does not decide who gets the rate discount. Learn what each field on a membership controls →
How rate discounts work with coins, credits, and weekend prices
The rate discount is not the only thing that affects the booking price. Coins, credits, and weekend prices also affect what members pay.
If a member pays with coins, Flex applies the rate discount first. Flex then deducts coins from the reduced price.
Hourly credits pay for booking time. 1 hourly credit always covers 1 hour of booking, at any price. A rate discount does not change the number of hourly credits that a booking uses.
A rate discount reduces a weekend price only when the resource rate has a weekend price. If the resource rate has no weekend price, Flex uses the standard price on weekends. Best practices
These practices keep member prices correct when companies hold memberships on different billing plans.
If a company holds memberships on more than 1 billing plan, review the rate discounts on each billing plan. Every member of the company gets the rate discounts from every active membership.
If you keep separate resource rates for members and non-members, replace them with 1 resource rate and a rate discount. Then you can change each price in 1 place.
FAQs
Can I limit a rate discount to 1 member of a company?
You cannot limit a rate discount to 1 member of a company. Flex calculates each booking price from the company of the person who books. If the company has an active membership with the rate discount, every member of that company gets the rate discount.
Does the Bill to Member checkbox control who gets the rate discount?
The Bill to Member checkbox does not control who gets the rate discount. The Bill to Member checkbox decides only who receives the invoice for the membership fee.
Do I add the rate discount to each member?
You do not add a rate discount to each member. You add the rate discount to a billing plan. Flex then applies the rate discount at each booking.
Do existing memberships get a new rate discount?
Existing memberships on the billing plan get a new rate discount. Flex reads the billing plan's rate discounts each time a member books. You do not change the memberships.
What happens if a member with a rate discount pays with coins?
A member with a rate discount pays the discounted price in coins. Flex applies the rate discount first. Flex then deducts coins from the reduced price.
Does a rate discount change how many hourly credits a booking uses?
A rate discount does not change how many hourly credits a booking uses. 1 hourly credit always covers 1 hour of booking, at any price.
Can a rate discount reduce only hourly bookings?
A rate discount can reduce only hourly bookings. When you create the rate discount, select only the Hour rate type.
