Connect the elumo in Flex Integration

Connect your integration, map your locations, and configure your settings.

The integration automates access provisioning based on confirmed bookings and memberships. With elumo's tap-to-book functionality and real-time calendar mirroring, members can access spaces instantly without staff intervention.

This article walks you through connecting the integration, mapping OfficeRnD entities to elumo access logic, and managing access for members and external users with speed and precision.


Before you start

Before starting the integration, you must have an active Essensys account. If you do not yet have access to the elumo Platform, contact essensys.

To ensure a smooth setup and reliable sync between OfficeRnD and the elumo Platform, we recommend reviewing and preparing the following:

  1. Review your location setup
    Make sure your locations in OfficeRnD are clearly defined and match the corresponding sites in essensys. This will make mapping easier and reduce the risk of misalignment.

  2. Clean up member data
    Ensure member profiles in OfficeRnD are accurate and up to date, including:

    • Email addresses – Used as the unique identifier in elumo Platform.

    • Mobile numbers – Required for SMS authentication when assigning digital elumo passes to members. Without a valid mobile number, members will not be able to complete the wallet pass journey.

  3. Change your member settings
    Make the mobile number a required field to ensure you capture members' mobile numbers when adding members in the future.

    1. Go to Settings > Forms Customization.

    2. Click Member.

    3. Make 'Phone/Mobile Phone' a required field.

  4. Check company associations
    Confirm that companies are correctly linked to their members and locations. This is important if you're using company-level access or connectivity rules.

  5. Audit your booking calendar
    Review upcoming bookings in OfficeRnD to ensure they reflect current availability and usage. This is important if you plan to sync bookings for access control or tap-to-book functionality.

Connect the integration

Follow these steps to activate the elumo integration in OfficeRnD Flex:

  1. Go to Integration Hub > All Integrations.

  2. Open "Access Control" and click Activate next to elumo.

  3. Click Connect.

  4. Add your unique essensys Platform URL and click Next.

  5. Enter your Platform user credentials to authorise the integration.

Configure the integration

Once you've activated the integration, you will need to configure your locations, choose your settings, and start the sync. To do that:

  1. In the OfficeRnD Admin Portal, go to Integration Hub and locate the elumo integration.

  2. Click Configure.

  3. Enter your essensys URL and login credentials to authenticate the connection.

  4. Use the Location Mapping section to link each essensys Site with its corresponding OfficeRnD Location.
    Tip: For any location you don't want to connect, leave the field as 'Do not map'.

  5. Choose which services to sync across the mapped locations using the available toggles:

    • Auto-send WiFi Invitations
      When turned on, members synced to a location with essensys-managed WiFi will automatically receive credentials for secure network access.

    • Sync Calendar Bookings
      When turned on, all future bookings in OfficeRnD for the mapped locations will sync to the essensys Platform. This ensures real-time access control and calendar mirroring.

  6. Click Save.

Note: The selected toggles apply universally across all mapped locations. If your essensys sites offer a mix of services (e.g., WiFi only, elumo only, or both), the integration will automatically detect and sync the relevant services accordingly.

Initiate the integration sync

When you start the sync:

  1. The sync may take several minutes to complete, depending on the number of locations and entities involved.

  2. You'll receive a Sync Started email to confirm that the process has begun.

When the sync is initiated, the integration will automatically perform the following actions to align your OfficeRnD data within the elumo Platform:

  • Create floors and spaces in elumo
    All relevant floors and bookable spaces from OfficeRnD will be created in elumo and configured to accept bookings.

  • Create occupiers for mapped companies
    Any company linked to a mapped OfficeRnD location will be created as an occupier in the essensys Platform.

  • Generate contracts for mapped locations
    Standard contracts will be created within each occupier for the relevant locations.

  • Provision members as users
    Members at mapped locations will be created as users under their associated occupiers.

    If a member is not linked to a company, they will be created as both an individual occupier and a user.

  • Sync future bookings
    All future bookings from the point of sync will be sent to the essensys calendar, enabling access control and tap-to-book functionality.

When the sync is completed, you will receive a further email to confirm, summarising what has been successfully synced based on your selected toggles and mapped locations.

When the sync is complete, you can revisit the Configure page to check the status of specific entities and confirm that everything is aligned.

Do not make changes or attempt to reconfigure the integration while a sync is in progress.

Complete the elumo onboarding

When your integration setup is complete, the final onboarding steps ensure your access control, booking sync, and device configuration are fully operational. This checklist outlines what needs to be completed, with references to detailed articles for each task.

Final onboarding checklist

  1. Create Team Members in the elumo Platform
    Create operator-level users in the elumo Platform to manage access credentials and permanent access groups.

  2. Device Installer Mode
    Ensure elumo devices are installed and tested in installer mode.

  3. Create Access Users
    Create access users in the elumo Platform to manage access permissions. These are not members or staff, but users who may still require access to your spaces, such as security guards, cleaners, contractors, or maintenance staff.

  4. Door management
    Configure door settings, update door names.

  5. Manage Access Groups
    Set up and manage access groups to permanent access to specific spaces (outside of bookings).

    Link physical doors to digital spaces for access control based on bookings.

  7. Configure offline settings
    Set up offline access rules to ensure continuity during network interruptions.

  8. Test your system
    Run end-to-end tests to confirm that bookings, access, and connectivity are functioning correctly.

  9. Invite users

    Invite your users to add their elumo digital pass.

Important notes

Please keep the following in mind:

  • Once companies, members, or bookings are synced from OfficeRnD to the elumo Platform, they should be managed exclusively within OfficeRnD.

  • Manual changes made to these entities in the elumo Platform will not sync back to OfficeRnD and may be overwritten.

  • The only exception is bookings made via tap-to-book in elumo, which will correctly sync back to OfficeRnD and appear in the calendar.

  • Ensure that any updates to memberships, member details, or booking schedules are made in OfficeRnD to maintain consistency across both platforms.

  • The integration is designed to reflect OfficeRnD as the source of truth for workspace operations. Changes made outside of this flow may lead to unexpected behaviour.
