Delete a company or a member profile

Keep a record by switching someone to Former, or erase it permanently when the data should not exist at all.

A company that has churned through staff leaves a long list of names on its profile. Deleting them clears the list and removes their booking and billing history.

Setting a member to Former removes their access and keeps every record. Deleting a profile erases the record, so it suits test data and profiles created by mistake.

Member statuses and deletion solve different problems. A status change controls access. Deletion controls whether the record exists at all.

Set a member to Former instead

We strongly recommend not deleting members. Most cleanup does not need deletion. A member set to Former loses access to the Member Portal. Every record attached to that member stays in place, so you keep historical records.

Former members also don't count toward member-based subscription pricing.


Delete a company profile

Warning: Deleting a company erases all historical data attached to it. This cannot be undone.

Deleting a company is a 2-part job. End its memberships first, then delete the profile.

  1. Go to Operations > Companies and open the company profile.

  2. Click the cogwheel and select Cancel Membership.

  3. Set an end date for all memberships and click Cancel Membership.

The company now has no active memberships. Stop here to keep its history on record. Continue only if the record should not exist at all.

To delete the company, click the cogwheel at the top left and select Delete Company. Confirm in the dialog.


Delete a member profile

Where you delete a member depends on whether they belong to a company.

For a member who is not part of a company, go to Operations > Members and follow the same steps as for a company profile (see above ↑).

For a member who belongs to a company, go to Operations > Companies, open the company profile, and delete the member from the Members widget.


Find out why the Delete button is missing

The Delete button is permission-gated, so an admin without it does not see the option at all. If you cannot find the Delete button, your admin role does not include the Delete permission for Members or Companies. FAQs

Should I delete former members to tidy up a company profile?

You don't need to delete former members. Setting a member to Former removes their access and keeps their history, which is what most spaces do. Delete a profile only when the record should not exist, such as test data.

Why can I not see the Delete option?

The Delete option is hidden when your admin role does not include the Delete permission. An Owner can add that permission under Operations in the role's settings.

What happens to a member's history if I delete them?

Deleting a member removes the historical data attached to them, and you can't undo the action. Set the member to Former instead when the history matters.
