The Price Adjustments in OfficeRnD Flex help you update membership prices in bulk without manually editing them one by one. You can increase prices by a percentage or fixed amount, filter which memberships to include, and preview all changes before applying them. This is especially useful for CPI-based increases, recurring updates to month-to-month memberships, or milestone-based adjustments, such as when memberships reach their first year.
When you apply a price adjustment, Flex automatically ends the old membership and creates a new one with the updated pricing. However, discounts, add-ons, and deposits are not carried over.
Price adjustments can be used only for company memberships. They don't work with personal memberships for members.
Before you start
Create a price adjustment
To create a price adjustment rule:
Go to
Billing > Price Adjustments and click Create Rule.
Enter a name for the price adjustment rule.
Select its effective date (the date when the price change will take effect).
Select how to adjust prices: by percentage or by a fixed amount.
Select the adjustment value: enter the percentage or money amount by which prices will be increased.
Click Next.
Select the locations where the prices will be increased.
Choose how to filter the memberships: by plan type or by plan name. This will change the options you will see below.
Choose the billing plans. All memberships for the selected billing plans will have their prices increased.
Select the membership types for which you want to apply the changes:
Fixed memberships
Month-to-month memberships
Both fixed and month-to-month memberships
Filter the memberships:
Included in a contract
Excluded from a contract
Both included and excluded
To apply price adjustments only to memberships that started in a specific month, select that month in the Start Date field. Leave the field empty to apply the adjustments to all memberships that meet the above criteria.
Click Next.
Preview the selected memberships and make any changes.
You can edit individual prices, update new periods, or remove memberships from the list.
Prepaid plans will not be affected by the rule. You must manually exclude them here or adjust them with another rule after the period for which they are prepaid.
If a Billing Plan has a setup fee or other one-off fees, the updated membership will add those fees and charge them again. We recommend that you edit the billing plans and remove these fees before applying the price adjustment.
Click Next.
Make a final review of the price adjustment configuration.
Click Apply Adjustments. Please note that it may take some time for all membership prices to be increased.
Handling contract-locked memberships
If your selection includes contract-locked memberships, you will receive a warning message. Before editing these memberships, please consult with your legal team to ensure that any changes comply with the contract terms and conditions.
When the price adjustment rule is applied, the system will:
Temporarily unlock the memberships.
End the current memberships on the effective date of the rule.
Create new memberships with the updated prices.
Lock the newly created memberships under the same contract.
Send notifications to affected companies
After you create the rule and execute it, you must send email notifications to the companies with affected memberships.
On the Price Adjustments page:
Click Send Notifications.
Review the email template.
Select who should receive the emails:
The company's billing person
The company email
Both the company email and the company billing person
Click Send Notifications.
Handle common errors
Follow these instructions to fix common issues and errors:
No Start Date and memberships with earlier End Dates
If you do not select a Start Date (see step 12 above ↑), the price adjustment rule will include all memberships across all periods that match your filters. In some cases, the list will include memberships whose End Date is earlier than the rule's Effective Date (see step 3 above ↑).
Because these memberships are not active on the effective date, the system rejects them, and the following error message appears: The rule could not update membership prices. Review the rule settings and try again.
To resolve this, do either of the following:
Remove these memberships from the execution list.
Extend or remove their End Date so they remain active on the rule's effective date.
This prevents errors and ensures the rule processes all intended memberships.
