When you try to create a contract, move a member, or change a membership, Flex shows the error "The resource is not available for the requested period." The error has 2 possible causes. Once you find the cause, you can fix the resource or assign a different one, then complete your change.

The error comes from the resource that you selected. A membership uses a resource for a set period. A contract also uses resources for a period of time. If a resource in a contract is not available for the contract period, the contract shows a warning.

  • Which actions can show this error

  • How to tell whether another membership or the dates block the resource

  • Why a contract shows a warning for one of its resources

Before you begin

Have this information ready, because you compare it with the resource data in each step:

  • The name of the resource that shows the error.

  • The start date and end date you entered for the contract or membership.

When does Flex show this error?

Flex can show this error whenever you connect a resource to a time period. The error can show in these 4 situations:

  • You create a contract with a specific resource and enter its start date and end date.

  • You move a member to a new office or desk.

  • You set an end date for a membership that has an assigned resource.

  • You assign a resource to a member who already has a membership.

How Flex decides that a resource is available

In all 4 situations, Flex examines the resource for the period that you entered. A resource is available for a period only when these 2 conditions are true:

  • No other membership uses the resource during any part of the period.

  • The full period falls between the resource's Available From date and To date.

If 1 of the 2 conditions is false, Flex shows the error.

See who uses the resource

To find which condition is false, start with the memberships that use the resource. The History window of a resource shows every move-in and every move-out, with exact dates. The History window includes past and future memberships.

  1. Go to Space > Private offices, or to the list for your resource type, such as Meeting rooms. The list shows all resources of that type.

  2. Type the resource name in the search bar to find the resource in the list.

  3. Click the cogwheel next to the resource to open the resource menu.

  4. Select History to open the History window.

  5. Compare the move-in and move-out dates with your start and end dates. If a membership uses the resource during any part of your period, that membership blocks the resource.

  6. Click Close to return to the resource list.

If a membership blocks the resource, continue with Remove the conflict (see below ↓). If no membership uses the resource during your period, the resource's availability dates are the cause.

Check the availability dates of the resource

If no membership blocks the resource, the resource's availability dates are the cause. Flex can assign a resource only between its Available From and To dates.

  1. In the resource list, click the cogwheel next to the resource to open the resource menu.

  2. Select Edit to open the Edit window. You can also click the resource name in the list to open the Edit window.

  3. Compare the Available From date and To date with your start and end dates.

  4. Make sure your full period falls between the Available From date and the To date. If any part of your period falls outside these dates, the resource is not available for that time.

For example, a membership for the private office PO 4 runs from March 17, 2026 to January 1, 2027. In this example, the History window of PO 4 shows no other membership. In this example, the Available From date of PO 4 is February 17, 2026. In this example, the To date of PO 4 is June 30, 2026. In this example, Flex shows the error because PO 4 is not available from July 1, 2026, to January 1, 2027.

Remove the conflict

You now know whether another membership or the availability dates block the resource. Each cause has a different fix:

  • If another membership uses the resource and its dates are wrong, correct the dates on that membership. The resource is then free for your period.

  • If the Available From date or the To date is wrong, change the date in the resource's Edit window. Click Update to save the new date.

  • If another membership uses the resource and all dates are correct, assign a different resource. The first resource cannot hold your membership for the full period.

After you remove the conflict, repeat the action that showed the error. If the resource is part of a contract, return to the contract to continue.

FAQs

Why does my contract show a warning about a resource?
Your contract shows a warning because a resource in the contract is not available for the contract period. Find the cause in the resource's History and Edit dialogs. Then return to the contract to continue.

The History window shows no other membership. Why do I still get the error?
You still get the error because the resource's availability dates don't cover your full period. Open the resource's Edit window. Compare the Available From and To dates with your start and end dates.

Can I keep my dates and use a different resource?
You can keep your start date and end date and assign a different resource. Choose a resource that no other membership uses during your period. The full period must also be between the Available From date and the To date of the new resource.
