Relocate a member to a different resource

Move an assignment to a new desk or office, and undo a move that you scheduled by mistake.

When a member moves to a new desk or office, the old resource stays reserved for the member until you move the membership. Relocation moves the membership to the new resource. After the relocation, the new resource is reserved for the member, and the old resource is available again.

You can relocate a membership from the member or company profile, or relocate a desk on the floor plan. A relocation can start on a future date.

Before you start

You can relocate only a membership that already has a resource assignment. The new resource must have the same resource type as the billing plan of the membership. If the types do not match, the member gets booking conflicts on the new resource.

Relocate a membership from a member or company profile

Use the profile when the member moves to any type of resource, such as a private office. The floor plan can relocate a membership only to a desk.

  1. Go to Operations > Members or Operations > Companies, and open the profile.

  2. In the memberships section, click the cogwheel next to the membership.

  3. Select Relocate.

  4. Complete the fields in the Relocate dialog:

    • From: The resource that the member uses now. You cannot change this value.

    • To: The resource that the member moves to.

    • Swap with: This field should be used only when another member or company uses the resource in To. Select the resource where that member or company moves. To exchange the 2 resources, select the resource in From.

    • Date: The date when the relocation takes effect. By default, the field shows today’s date. To schedule the relocation, select a later date.

  5. Click Done.

Use Swap with when 2 members exchange resources. Flex relocates both members on the date in Date. Both resources stay occupied, with no day in between where the resource is free. Without Swap with, you cannot relocate a member to a resource that another member uses.

For example, member A uses desk 0-101, and member B uses desk 0-102. You relocate member A to desk 0-102 and select member B in Swap with. On the relocation date, member A moves to desk 0-102, and member B moves to desk 0-101.

Check a scheduled relocation

A relocation with a future date does not move the member until that date. To see the history of relocations:

  1. Click the resource name under the membership. The floor map opens with the resource selected.

  2. Click History. A dialog opens with the complete history of everyone who was relocated to the resource.

Important: Do not use Unassign with Delete Assignment to cancel a relocation. Delete Assignment permanently deletes the member’s current resource assignment, so the member loses the desk or office that the member uses now.

FAQ: Relocations

Can I relocate a member to a private office on the floor plan?

You can relocate a membership only to a desk on the floor plan. To relocate a membership to a private office or another resource type, select Relocate next to the membership on the member or company profile.

How do I cancel a relocation that I scheduled by mistake?

You cannot cancel a relocation. Do not use Unassign with Delete Assignment, because Delete Assignment permanently deletes the member’s current resource assignment.

Can I use Unassign to cancel a relocation?

Do not use Unassign to cancel a relocation. Unassign ends or deletes the member’s current resource assignment and does not cancel the scheduled move.

Why does Flex show “The resource is not available for the requested period” when I relocate a member?

Flex shows this error when the resource in To is assigned to another member or company on the relocation date. To exchange the resources of the 2 members in 1 step, select the other member in Swap with. If the other member must stay on that resource, select a free resource in To instead.
